NinjaOne SaaS Backup for Microsoft 365

NinjaOne SaaS Backup is the Dropsuite platform under NinjaOne's name. For Microsoft 365 it backs up mail, files and Teams several times a day, and its bundles can add Entra ID backup and email archiving to the same per-seat licence.

In short

NinjaOne SaaS Backup, formerly Dropsuite, is cloud-to-cloud backup for Exchange Online, OneDrive, SharePoint and Teams, with incremental backups several times a day and point-in-time, item-level restores. It is licensed per seat in four bundles: Standard, + Entra, + Archiver, and + Archiver + Entra, with a fair-use storage allowance pooled across your organisation.

From Dropsuite to NinjaOne SaaS Backup

NinjaOne, the IT management software company, acquired Dropsuite in June 2025. NinjaOne says the Dropsuite website has been retired and the technology continues as NinjaOne SaaS Backup, powered by the same platform. NinjaOne says existing backups, data and retention settings carried on unaffected, and existing Dropsuite customers can keep working as before or use NinjaOne's optional Bring Your Own Dropsuite connection to manage their backups alongside NinjaOne.

You will still see the old name in places: some catalogues and quotes still show Dropsuite alongside the NinjaOne name, and plenty of people still search for Dropsuite backup. This page covers the Microsoft 365 side; our Cloud Security site has a general overview of NinjaOne SaaS Backup as a product.

The need for it is the same as for any Microsoft 365 backup solution: Microsoft's recycle bins and version history are time-limited, and under the Microsoft 365 shared responsibility model recovering your data is your job.

What NinjaOne SaaS Backup covers in Microsoft 365

WorkloadWhat is protected
Exchange OnlineMailboxes: inbox, sent items, folders, attachments, calendar and contacts
OneDriveFiles and folders
SharePointSite collections, document libraries and lists
TeamsTeams structure, channel messages and associated files
Entra ID (+ Entra bundles)Users, Microsoft 365 groups, roles and admins, Conditional Access policies, app registrations, devices and BitLocker keys

Channel message coverage is a point in its favour for organisations that hold discussions in Teams channels. NinjaOne's own FAQ also refers to Teams chat histories; Teams chat coverage varies a great deal between products, so we confirm exactly what will be captured for your tenant before you rely on it. Our Microsoft Teams backup page explains why chats are the hard part.

The four bundles

NinjaOne SaaS Backup is licensed per seat, and you choose the bundle that matches what you need to protect:

BundleWhat it includesTypical reason to choose it
StandardBackup and restore for Exchange Online, OneDrive, SharePoint and TeamsStraightforward Microsoft 365 backup
+ EntraStandard plus point-in-time backup of Entra ID users, groups, roles and policiesA directory you would struggle to rebuild by hand
+ ArchiverStandard plus journaling-based email archiving with eDiscovery and legal holdEmail you must keep and produce on request
+ Archiver + EntraAll three: backup, archiving and Entra ID backupEverything on one per-seat licence

The Entra bundles matter because Microsoft's own Entra ID protection is short: soft-deleted users, groups and app registrations can be restored for 30 days, and Microsoft Entra Backup and Recovery, which needs Entra ID P1 or P2, keeps up to seven days of daily backups. Licensing for that option is on Dropsuite Entra ID backup.

The Archiver bundles are a different job from backup: an archive records every message as it is sent or received so you can prove what was said years later. Our Email Archiving site explains NinjaOne SaaS Backup + Archiver and the difference between email archiving and backup.

Backups, retention and restores

Backup frequency. NinjaOne says backups run several times a day, typically every four to six hours depending on the workload and the limits of Microsoft's APIs. Backups are incremental: after the first full copy, only new and changed items are sent. Auto-discovery and coverage reports help you spot new users and sites that are not yet protected.

Retention. Retention is set by policy, per app, department or user group, and can be kept for a few days, several years or indefinitely, according to NinjaOne. Backup data for inactive users can be kept, which is how a leaver's mailbox and OneDrive stay recoverable after their Microsoft licence is removed; our Email Archiving site's guide to leavers' mailboxes covers the wider question.

Restores. NinjaOne lists point-in-time and item-level recovery: a single email, a folder, a whole mailbox, a OneDrive folder, a SharePoint library or Teams files, from any point in the backup timeline. Restores can go to the original account or a different user, or be exported as a download, and NinjaOne says they keep original permissions and metadata. An audit trail records who backed up and restored what, and when.

For worked examples, see Microsoft 365 backup and restore, restore a deleted OneDrive and restore a deleted SharePoint site.

Storage, fair use and data location

NinjaOne does not cap storage per tenant. Instead, its SaaS Backup Fair Use Policy gives each paid seat an allowance of up to 250 GB, and the allowances are added together across your whole organisation. Heavy users are balanced by light ones, so the question to check is whether your total Microsoft 365 data fits the pooled allowance, not whether any one mailbox is large. We can check your usage reports before quoting.

On location, NinjaOne says its data centres are in multiple regions (the US, the EU and Asia-Pacific) and that customers can choose where their data is stored. If you need a particular location for UK GDPR or a customer contract, tell us before set-up and we confirm the available regions for your account at quote. Our Microsoft 365 backup compliance page covers the wider data protection questions.

Who it suits and how we help

NinjaOne SaaS Backup suits small and mid-sized organisations that want per-seat Microsoft 365 backup without managing storage, and those that want backup, Entra ID protection and email archiving on one licence. Organisations already using NinjaOne for device management may also like having backup from the same vendor.

If you are comparing it with a similar per-seat platform, see Acronis vs NinjaOne SaaS Backup, or the Microsoft 365 backup comparison for all five.

We can choose the bundle with you, connect your tenant, set retention and restore permissions, check the first backups complete and test a restore together. Licence counts and renewals sit on your Forever Systems account; licensing detail is on Dropsuite pricing, with terms confirmed at quote. Contact us to talk it through.

We are an independent UK IT and cyber security provider. We supply more than one Microsoft 365 backup product, so we can recommend what fits your tenant, your retention needs and your budget rather than one vendor's answer to everything.

  • Review what you have: we look at your Microsoft 365 licences, retention policies and any existing backup before suggesting anything new
  • Help you choose: we compare the backup products we supply against the workloads you need covered, such as Exchange Online, OneDrive, SharePoint, Teams and Entra ID
  • Set-up and onboarding: we can help connect the backup service to your tenant and agree what is protected and how long copies are kept
  • Restore testing: we can help you plan and run test restores so you know how recovery works before you need it
  • Licensing in one place: backup licences alongside your Microsoft 365 subscriptions, with terms confirmed at quote
